How employees use WPChef Tracker

This guide can be shared with employees so they know how to clock in, take a break, clock out, allow GPS when required, and review their attendance history.

Before employees start

  • Employees must have a WordPress user account.
  • Employees must be assigned an allowed role or WPChef Tracker employee role.
  • Pro employees should be assigned a department, location, and shift template.
  • For Pro GPS/geofence tracking, employees should use a device browser that can share location.
  • Employees should use the same attendance page every day unless your company gives different instructions.

Daily attendance workflow

  1. Log in.
    Open the employee attendance page and log in with your assigned username/email and password.
  2. Clock in.
    Press Clock In at the start of the shift. In Pro, allow location permission if prompted.
  3. Start break.
    Press Start Break or Break In when your break begins. Add a break note if required.
  4. End break.
    Press End Break when your break ends.
  5. Clock out.
    Press Clock Out at the end of the shift. If Pro detects an early/late rule, enter the requested explanation.
  6. Review your records.
    Check the Recent Attendance or Your Attendance table to confirm the shift was recorded.

What employees see in the Free plugin

Attendance status

Shows whether the employee is clocked out, clocked in, or on break.

Live time counters

Shows current time, clock-in time, break time, and current net time.

Recent attendance

Shows recent dates, clock in/out, break, total time, status, and break note indicator.

What employees see in Pro

Assigned profile

Shows employee ID, department, location, timezone, and shift time.

GPS-aware actions

Clock actions can capture GPS coordinates, device details, browser details, and geofence pass/fail evidence.

Flags and approval

Shows attendance status, approval status, and current flags such as late clock-in, early clock-out, overtime, or missing clock-out.

GPS and geofence tips for employees

  • Use HTTPS website links for reliable browser location permission.
  • Allow location access when the browser asks.
  • Use the device from the assigned work location when geofence is enabled.
  • If GPS fails, move near a window or try again with mobile data/Wi-Fi enabled.
  • If the system says you are outside the allowed radius, contact your manager before continuing.
Employee reminder: Always end an active break before clocking out. If you forget to clock out, your record may be marked for manager/HR review.
